As an organization, Everwind is experiencing astronomical growth and Meridia Recruitment is thrilled to be partnered with them to bring an experienced, results-driven Executive Assistant to their dynamic team in Halifax, NS. They are a fast-paced organization committed to excellence and innovation. We are seeking a highly organized and proactive professional to support their senior leadership team. The Executive Assistant (EA) will provide comprehensive administrative support to executives, ensuring smooth and efficient operations. The ideal candidate is detail-oriented, and capable of managing multiple priorities in a fast-paced setting. This role requires excellent communication skills, discretion, and a proactive approach to problem-solving.


Key Responsibilities:

 

  • Administrative support: Manage executives’ calendars, schedule meetings, coordinate travel arrangements, and handle correspondence.
  • Communication: Act as the point of contact between executives and internal/external stakeholders, managing information flow and facilitating communication.
  • Meeting coordination: Prepare agendas, take minutes, and ensure follow-up on action items for meetings.
  • Document management: Organize and maintain files, documents, and records, both physical and electronic.
  • Project assistance: Support special projects and initiatives, ensuring deadlines are met and objectives are achieved
  • Event planning: Coordinate and organize company events, meetings, and conferences.
  • Research and reporting: Conduct research, compile data, and prepare reports and presentations as required.
  • Task prioritization: Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met.


Qualifications:

 

  • Bachelor’s degree in business administration, communications, or a related field preferred.
  • Minimum of 3-5 years of experience as an Executive Assistant or in a similar role, preferably in a fast-paced environment.
  • Exceptional organizational and time-management skills.
  • Strong communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with discretion.
  • Proactive problem-solving skills and ability to work independently.
  • Flexible and adaptable to changing priorities and demands.
