As an Executive Search Coordinator, you will work with a Managing Partner on their respective search assignments, as well as a dedicated Senior Consultant and Senior Recruiter on the team. You will support a variety of key activities related to search execution and project management, including candidate research, advertisement planning and posting, interview scheduling, and document creation. You will also play a key role in proposal development and other key initiatives to support the firm’s success.

Role Description:
As an Executive Search Coordinator, you will work with a Managing Partner on their respective search assignments, as well as a dedicated Senior Consultant and Senior Recruiter on the team. You will support a variety of key activities related to search execution and project management, including candidate research, advertisement planning and posting, interview scheduling, and document creation. You will also play a key role in proposal development and other key initiatives to support the firm’s success.
Your Responsibilities:
- Act as project coordinator for search assignments and as an informed communicator and key liaison on project progress for team members, client contacts, and candidates, ensuring timely updates throughout the project.
- Coordinate meetings and interviews with clients and candidates, as well as meeting logistics and technology requirements.
- Create, format, and proof of key client and candidate documents, such as proposals, presentations, job ads, Executive Briefs, reference reports, and invoices.
- Support the planning and posting of approved advertisement programs and expense reconciliation.
- Provide candidate research support, leveraging critical and creative thinking to identify prospective candidates through multiple sources.
- Assist with the recruitment and selection processes, including collecting applications and conducting reference and background checks.
- Support inclusive and accessible recruitment practices aligned with our commitment to diversity, equity, and inclusion.
- Manage the Partner’s schedule and coordinate meetings and travel arrangements.
- Participate in delivery of team meetings and team-building activities, contributing to a positive, collaborative, and supportive team environment.
- Tech-savvy, critical thinker and resourceful, problem-solver.
- Composed, tenacious and persistent in supporting the completion of complex projects.
- Personable and professional, with strong communication skills and the ability to build rapport with candidates and clients alike.
- Strong written communication skills, with the ability to create externally facing documents and presentations that are professional and compelling.
- Highly organized, with the ability to manage multiple projects simultaneously.
- Motivated and takes a creative approach to produce high-quality work with a strong attention to detail.
- Positive attitude and willingness to contribute to team and office culture.
- Completion of post-secondary education in a relevant field is preferred.
- Mentorship and hands-on experience in HR and recruitment.
- Exposure to recruitment processes and organizational culture-building.
- A collaborative and inclusive work environment.
