The Opportunity
We are seeking a highly proactive, relationship oriented Executive Assistant to support a high visibility CEO in a fast‑moving, community‑focused environment. This is not a traditional administrative role; it’s a strategic partnership with a leader whose schedule, priorities, and external presence evolve by the hour. The CEO is deeply engaged in the community, frequently travelling, and meeting externally with partners and clients, and internally with the Lindsay team. Your job is to operate as an extension of them, ensuring they are prepared, informed, and able to stay focused on the highest impact work. You’ll manage a high-volume inbox and a constantly shifting calendar, anticipate needs before they arise, and build strong relationships across the organization so you can act as the CEO’s trusted eyes and ears.
This is a high-trust, high‑discretion role that shapes the tone of the executive office, ensuring it is a place where team members feel welcomed, heard, and supported.

What You’ll Do
Executive support and planning:
- Anticipate needs, risks, and upcoming priorities.
- Map out daily schedule: ensuring prep, materials and logistics for meetings are considered.
- Monitor emails, calendars, and priorities.
- Take clear and accurate notes in meetings, providing follow-up summaries and action items.
- Build strong relationships with employees across the organization.
- Act as a personable and confident presence when stakeholders arrive, especially when the executive is traveling or unavailable.
- Understand and handle sensitive information with absolute confidentiality and discretion.
- Full ownership of the CEO’s high-volume inbox: triaging, drafting responses, flagging priorities, and maintaining filing systems.
- Assist with travel, logistics, event coordination, and community involvement activities.
- Adapt your schedule when necessary. Ability to be flexible with your schedule on occasion is important.
- Use the Microsoft Office Suite to prepare documents, schedules, presentations, and reports.
- Become a trusted partner who understands the CEO’s leadership style and organizational dynamics.
- Develop a deep understanding of the construction industry and Lindsay’s culture.
