On behalf of our client, Meridia Recruitment is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the senior leadership. This role is critical to ensuring the smooth operation of executive activities, including scheduling, communications, and coordination across multiple priorities. The successful candidate will bring exceptional attention to detail, strong organizational skills, and the ability to manage confidential information with discretion. A collaborative mindset and a proactive approach to problem-solving, process improvement, and stakeholder engagement will be key to success in this position.

Core Responsibilities:

Executive Support & Organization:
  • Provide high-level administrative assistance, including managing schedules, coordinating meetings, and ensuring timely completion of key tasks. Maintain organized systems to support both business and executive priorities.
Travel & Logistics Coordination:
  • Arrange and manage complex travel plans and itineraries, ensuring seamless execution of trips and related logistics.
Communication Management:
  • Act as a primary point of contact, handling correspondence and ensuring timely reminders for important commitments.
Process Improvement & Problem-Solving: 
  • Streamline workflows, implement organizational systems, and proactively address challenges to maintain efficiency in a dynamic environment.
The Ideal Candidate:
Experience:
  • Proven experience as an Executive Assistant supporting senior leadership in dynamic environments.
  • Skilled in managing complex calendars, coordinating travel, and organizing priorities.
  • Experience handling overlapping responsibilities and maintaining structure in fast-paced settings.
Education:
  • Post-secondary education or equivalent experience is considered an asset, but practical expertise is most important.
Skills & Attributes:
  • Exceptional organizational and prioritization skills with strong attention to detail.
  • Proficiency with calendar tools, expense management software, and other productivity platforms.
  • Ability to manage confidential information with discretion and professionalism.
  • Calm under pressure, adaptable, and assertive when needed.
  • Trustworthy and proactive, with a solution-oriented mindset.
