Role Description

Reporting to operational leadership, the Purchasing & Inventory Specialist plays a key role in supporting purchasing, inventory control, and operational efficiency across the organization. This position is responsible for coordinating the procurement of materials, supplies, equipment, and services while ensuring inventory records remain accurate and inventory levels effectively support operational needs.

Working closely with operations teams, department managers, suppliers, and Accounts Payable, the successful candidate will help ensure purchasing activities are executed efficiently, inventory is effectively managed, and critical materials are available when required.

Key Responsibilities: 
  • Process purchase requisitions and prepare purchase orders for materials, supplies, equipment, and services.
  • Source products and services through established and prospective suppliers.
  • Obtain and evaluate quotations based on pricing, quality, availability, delivery requirements, and service levels.
  • Monitor open purchase orders and follow up with suppliers regarding delivery schedules and outstanding orders.
  • Coordinate shipping, freight, and delivery requirements as needed.
  • Maintain accurate purchasing records, supplier information, pricing data, and supporting documentation.
  • Communicate purchasing updates, shortages, delays, and supply concerns to internal stakeholders.
  • Develop and maintain positive working relationships with suppliers and service providers.
  • Work closely with Accounts Payable to resolve purchasing, receiving, and invoicing discrepancies.
  • Maintain accurate inventory records within the organization's ERP system.
  • Monitor inventory levels and support replenishment activities while minimizing excess inventory and maintaining inventory accuracy.
  • Conduct cycle counts and assist with physical inventory activities.
  • Investigate inventory discrepancies and support corrective actions.
  • Assist with developing and improving purchasing procedures, inventory controls, and operational processes.
  • Support cost-control initiatives, evaluate supplier performance, and identify opportunities for continuous improvement.

Qualifications

You are a highly organized and proactive professional who takes ownership of your work and prides yourself on accuracy, follow-through, and strong communication. You enjoy solving problems, managing competing priorities, and building positive relationships with both internal stakeholders and external suppliers. You are comfortable working in a fast-paced operational environment where priorities can shift quickly, and urgent purchasing requirements regularly arise.

Your qualifications include:
  • 2+ years of experience in purchasing, procurement, inventory control, supply chain, materials management, or a related position.
  • Experience processing purchase orders, obtaining supplier quotations, and tracking orders through completion.
  • Knowledge of purchasing and inventory management principles.
  • Experience using ERP, purchasing, or inventory management systems.
  • Strong computer skills with proficiency in Microsoft Office applications, particularly Excel.
  • Excellent organizational, prioritization, and time-management skills.
  • Strong attention to detail and commitment to accuracy.
  • Effective communication and relationship-building skills.
  • Ability to manage multiple priorities within a fast-paced operational environment.

Assets include:
  • Experience within industrial, manufacturing, construction, mechanical, transportation, or operations-focused environments.
  • Experience coordinating freight, shipping, receiving, or logistics activities.
  • Experience with inventory planning, cycle counting, and inventory control processes.
  • Experience with Sage 300 or similar ERP platforms.
  • Exposure to purchasing process improvement, supplier management, or cost-control initiatives.
