In support of this growth, the organization is strengthening its operational capabilities and building scalable, consistent processes to better support its dedicated team of Early Childhood Educators and the families and communities they serve.

This newly created position will provide centralized administrative support across the organization, taking ownership of a variety of day-to-day responsibilities while helping to develop, standardize, and implement effective processes across all seven centres.

We are pleased to partner with TGP Child Care as they look to welcome an experienced Administrative Specialist to their growing team. This newly created position will provide centralized administrative support across the organization, taking ownership of a variety of day-to-day responsibilities while helping to develop, standardize, and implement effective processes across all seven centres.
Responsibilities will include:
- Provide centralized administrative support to TGP Child Care’s seven childcare centres and leadership team.
- Support the development, documentation, and implementation of standardized administrative processes across all locations.
- Coordinate and streamline parent onboarding and administrative processes to create a consistent experience across centres.
- Support parent billing, payments, account follow-up, and related administrative inquiries.
- Manage payroll administration for approximately 150 employees, ensuring information is collected, organized, and processed accurately and on time.
- Support employee administration, including documentation and onboarding requirements.
- Assist with administrative requirements related to immigration and internationally recruited employees.
- Maintain accurate records, spreadsheets, templates, and reporting tools using Microsoft Office.
- Identify opportunities to improve administrative systems, workflows, and processes as the organization continues to grow.
- Support the implementation and centralization of systems and processes across all seven locations.
- Serve as a professional point of contact for parents, employees, Centre Directors, and other stakeholders.
- Provide support on special projects and evolving operational initiatives as required.
The ideal candidate will possess:
- Previous experience in an administrative, operations, office coordination, or similar role.
- Strong proficiency with Microsoft Office, particularly Excel, along with strong technical aptitude and the ability to confidently learn and work with a variety of systems, spreadsheets, and administrative tools.
- Demonstrated ability to develop, organize, or improve administrative processes and procedures.
- Excellent organizational skills with the ability to manage multiple priorities and follow through on details.
- A proactive, resourceful approach with the confidence to take ownership of projects and identify solutions.
- Strong written and verbal communication skills.
- A client-service mindset and the ability to communicate professionally and tactfully with parents, employees, and other stakeholders.
- Experience supporting billing, payroll, employee administration, or other business operations would be considered an asset.
- Experience supporting immigration processes or internationally recruited employees would be considered an asset.
- Experience working in a growing, multi-location, childcare, nonprofit, or service-based organization would be considered an asset.
