The Opportunity
The Executive and Corporate Office Manager provides high-level administrative support to the executive team while overseeing the efficient operation of the corporate office. The role serves as a central point of coordination for executive priorities, meetings, communications, records, office services, and day-to-day corporate administration.
The successful candidate will exercise sound judgment and discretion, anticipate needs, maintain organized systems, and ensure that executives, employees, visitors, and external stakeholders receive timely and professional support.
What You Will Do:
- Provide comprehensive administrative support to the executive team, managing calendars, meetings, travel arrangements, correspondence, and follow-up actions.
- Prepare and coordinate executive communications, reports, presentations, agendas, briefing materials, and meeting documentation.
- Support leadership meetings by organizing logistics, recording minutes, tracking action items, and ensuring timely completion of follow-ups.
- Serve as a key point of contact, managing inquiries and communications while exercising sound judgment and discretion.
- Oversee the day-to-day operations of the corporate office, including reception, meeting spaces, supplies, equipment, mail, and workplace organization.
- Coordinate office vendors, service providers, maintenance, security access, and visitor arrangements.
- Plan and support leadership meetings, employee events, corporate functions, and other organizational activities.
- Maintain accurate, confidential corporate records, executive files, agreements, policies, and governance documentation.
- Administer document control processes, including approvals, signatures, filing, action trackers, reporting schedules, and administrative deadlines.
- Liaise with external stakeholders, including legal counsel, accountants, insurers, clients, vendors, and professional advisors.
- Support the development and maintenance of administrative procedures, templates, forms, and operational best practices.
- Provide administrative and coordination support for special projects, cross-functional initiatives, and organizational priorities.
- Handle sensitive corporate, employee, and client information with the highest level of confidentiality and professionalism.
- Identify opportunities to improve office systems, processes, and service delivery to enhance organizational effectiveness.
What You Bring:
- Post-secondary education in office administration, business administration, executive administration, or a related field is preferred.
- Several years of progressive experience in executive support, office management, corporate administration, or a similar role.
- Demonstrated ability to support multiple executives and manage competing priorities with limited supervision.
- Excellent written and verbal communication skills with strong attention to detail.
- Strong calendar, meeting, travel, document-management, and organizational skills.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and electronic filing or document-management systems.
- Professional judgment and discretion when handling confidential, sensitive, or privileged information.
- Experience coordinating vendors, facilities, corporate meetings, events, or governance documentation is considered an asset.
