About the Role
Energy NL is seeking an experienced, highly organized, and professional Executive Assistant to provide comprehensive administrative support to the Chief Executive Officer (CEO) and the Board of Directors.
This role serves as a trusted partner to senior leadership, ensuring the smooth coordination of board governance activities, executive schedules, meetings, travel, and day-to-day administrative operations.
The ideal candidate is proactive, detail-oriented, and experienced in supporting senior executives and, preferably, Boards of Directors. They possess exceptional organizational, communication, and relationship management skills, along with the ability to manage confidential information with discretion and professionalism.

About the Role

Key Responsibilities
Board & Governance Support
- Coordinate and support Board of Directors and committee meetings.
- Prepare and distribute meeting agendas, board packages, and supporting documentation.
- Attend meetings as required and accurately record meeting minutes and action items.
- Maintain board records, resolutions, and governance documentation.
- Track follow-up actions and ensure timely completion of assigned items.
Executive Support
- Manage the CEO's calendar, appointments, and meeting requests.
- Coordinate internal and external meetings, including logistics and materials preparation.
- Prioritize and manage competing schedules and deadlines.
- Handle correspondence and communications on behalf of the CEO as required.
Travel & Event Coordination
- Arrange and manage executive travel, including flights, accommodations, transportation, and itineraries.
- Coordinate leadership meetings, retreats, and special events.
- Prepare travel documentation and expense submissions.
Administrative Support
- Prepare reports, presentations, and other business documents.
- Maintain organized records and filing systems.
- Support organizational projects and initiatives as assigned.
- Assist with the planning, coordination, logistics, and administration of organizational events, conferences, meetings, and special functions.
- Collaborate with staff across the organization to ensure successful execution of events and initiatives.
- Provide general administrative assistance to the executive leadership team as needed.
Qualifications & Experience
- Minimum 3–5 years of experience in an Executive Assistant or similar role.
- Experience supporting a CEO, executive leadership team, or Board of Directors is strongly preferred.
- Demonstrated experience preparing agendas, meeting materials, and minutes.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to manage confidential and sensitive information with discretion.
- Strong attention to detail and ability to work independently.
