The Opportunity

Meridia Recruitment is proud to partner with Sea Centric Inc. a marine technology leader specializing in vessel management, chartering, and real-time ocean data solutions. With a mission to advance ocean innovation through sustainable practices and cuttingedge technology, the organization is experiencing rapid expansion and is seeking a Document Controller to join its team.

The Document Controller will support the management of documentation associated with marine operations, vessel activities, and project delivery. Through effective document control, records management, and stakeholder coordination, the role ensures that critical information is organized, secure, compliant, and available to support operational efficiency, regulatory requirements, and client deliverables.

What You Will Do
  • Maintain and administer document control systems, filing structures, records management processes, and digital document repositories (e.g., SharePoint).
  • Ensure document accuracy, version control, naming conventions, traceability, retention, and archival requirements are consistently applied.
  • Upload, track, organize, and archive project, operational, and corporate documentation while maintaining audit-ready records.
  • Support project teams with document preparation, formatting, compilation, and timely submission of deliverables to clients and stakeholders.
  • Coordinate with vessel crews, technical staff, project managers, and other internal teams to collect, review, and maintain complete and up-to-date documentation.
  • Ensure all documentation complies with company standards, templates, quality requirements, and applicable regulatory requirements.
  • Maintain secure storage and management of sensitive project information and records.
  • Support the preparation of client documentation packages, including submissions for government, research, and commercial partners.
  • Assist with the migration, digitization, indexing, and quality assurance of historical project, vessel, and corporate records.
  • Provide guidance to staff on document control procedures, templates, and best practices.
  • Identify and implement opportunities to improve document management processes, workflows, templates, metadata structures, and records management tools.


What You Bring
  • Diploma or degree in business administration, office administration, information management, or a related field.
  • 3-5 years of experience in document control, administration, or project support.
  • Experience administering SharePoint Online document libraries and document management processes.
  • Experience configuring and maintaining SharePoint sites, libraries, views, permissions, and document control workflows is considered a strong asset.
  • Experience working in a technical, marine, engineering, or regulated environment is an asset.
