The Role

Reporting to the Director, Academic Governance, Policies, and Compliance, the Compliance Specialist supports the University's compliance obligations across a regulated post-secondary environment. The role is responsible for compliance evidence management, regulatory tracking, student-facing material reviews, audit preparation, and the day-to-day workflows that keep institutional obligations current, documented, and defensible. The Compliance Specialist works with precision and follow-through, understands the difference between identifying an issue and resolving it, and contributes to a team culture grounded in accuracy, accountability, and student protection.

Key Responsibilities

Regulatory Compliance and Monitoring
  • Monitor compliance obligations across post-secondary legislation, ministerial consents, degree authorization, IRCC and DLI requirements, Ontario career college regulations, and accreditation standards.
  • Track regulatory deadlines, renewal cycles, and submission requirements, and escalate risks to the Director with sufficient lead time.
  • Interpret and communicate compliance requirements to academic departments, faculty, and administrative staff.
  • Support registrations, renewals, and regulatory submissions, ensuring documentation is complete, accurate, and submitted on time.
  • Stay current with changes to applicable legislation, regulatory guidance, and accreditation requirements, and flag implications for the portfolio.
Compliance Evidence and Records Management
  • Maintain compliance evidence repositories, ensuring documentation is organized, version-controlled, current, and audit-ready.
  • Support disciplined records management so files are easy to locate, clearly labelled, and reliably maintained.
  • Track compliance issues identified through audits, reviews, or regulatory documentation, and follow through to confirmed resolution.
  • Prepare and organize materials for internal and external audits, reviews, and regulatory assessments.
Material Reviews and Student Protection
  • Review marketing materials, student-facing content, and institutional publications for alignment with regulatory requirements and approved policies.
  • Lead student file audit processes, ensuring records meet applicable standards and that issues are documented and escalated appropriately.
  • Contribute to compliance activities that directly support student protection obligations, including those related to IRCC, DLI, and career college requirements.
Systems and Continuous Improvement
  • Maintain and improve compliance tracking tools, checklists, dashboards, and evidence repositories.
  • Identify workflow gaps or inefficiencies and propose practical improvements to the Director.
  • Support the Director in building scalable, practical compliance operating systems that improve visibility and follow-through across the portfolio.
Qualifications
  • Completed undergraduate degree from an accredited university, in any field of study.
  • Direct experience in a compliance, regulatory affairs, or quality assurance function is required. Experience in post-secondary education, government, or another regulated environment is strongly preferred.
  • Strong organizational skills, including the ability to manage multiple deadlines, maintain accurate records, and ensure nothing falls through the cracks.
  • High attention to detail, with a consistent track record of completing work accurately and on time.
  • Comfort using technology for compliance tracking, records management, and reporting.
  • Strong written communication skills, with the ability to document compliance activities clearly and prepare materials ready for review or audit.
  • Sound judgment about when to act, when to escalate, and how to follow through reliably.
  • Knowledge of post-secondary legislation, IRCC or DLI requirements, Ontario career college regulations, or accreditation frameworks is a strong asset.
