The Nova Scotia Pharmacy Regulator (NSPR) (previously known as the Nova Scotia College of Pharmacists) is the regulatory authority for the practice of pharmacy in Nova Scotia with a mandate to govern the practice of pharmacy in the interest of the health and well-being of the public. Its legislated mandate is to regulate the profession’s services to the public and govern its registrants through registration, licensing and continuing competence assurance. Additionally, it ensures a professional’s conduct aligns with the code of ethics and professional standards established by the NSPR.
Working on behalf of all Nova Scotians, the NSPR regulates over 1,700 pharmacists and pharmacy technicians and over 300 pharmacies in which they work. The NSPR is committed to working with its partners in the healthcare system to establish impactful and innovative solutions so that Nova Scotians are able to realize the full benefit of the pharmacy profession in meeting their healthcare needs and goals.

The NSPR is looking for an individual who brings a commitment to quality, equity, collaboration, professional growth, adaptability, and humility.
The Registrations Officer plays a key role in making sure only pharmacy professionals who have the capacity, competence and character to practice pharmacy safely and ethically are licensed. Reporting to the Registrations Manager, the Registrations Officer performs a wide range of duties in supporting the NSPR’s public interest mandate by assessing applications, processing registrations and licenses, and ensuring the NSPR’s compliance with regulatory requirements.

Duties & Responsibilities
You will manage the application and registration processes, ensure data integrity in systems, and provide essential support to applicants, registrants and professional partners.
Key Responsibilities:
- Manage Registration Processes: Manage the application and registration processes for all applicant and registrant categories, including assessing applications and processing licences. This work also includes management of the processes for the jurisprudence exam.
- Provide Professional Support: Serve as a primary point of contact for registration inquiries via email and phone, providing clear and timely guidance to applicants and current registrants.
- Support Annual Renewals: Facilitate the annual renewal process for registrants and pharmacies to ensure they continue to meet licensure requirements.
- Support Database Integrity: Implement processes for ensuring data in the registrations database is accurate and consistently formatted. You will also provide support to team members on registrations database functions and recommend database improvements.
- Reporting and Compliance: Prepare ad-hoc reports and annual data submissions for third-party national and provincial partners. You will also conduct regular audits to ensure the NSPR’s records meet regulatory standards.
- Improve Processes: Monitor registration workflows and recommend practical improvements to the Registration Manager to support best practices and efficiency.
- Team Support: The NSPR works as a team. There will be opportunities to work with other internal NSPR teams on shared projects. In addition, you will provide support and coverage to the Registrations team and the Administration team as needed (e.g. during vacations).
Experience, Skills & Attributes
You are a detail-oriented professional who brings an analytical mindset to a process-driven environment. Experience & Technical Background:
- Professional Background: You have 3+ years of experience in a complex administrative or regulatory role (such as licensing, case management, membership services, contract management, paralegal), or experience as a pharmacy professional.
- Database & Systems Expert: You are highly comfortable with database management and possess an advanced command of Microsoft Office, particularly Excel.
- Data-Driven Mindset: You understand database structures and are committed to maintaining consistent, high-quality records.
- Critical Thinking & Accuracy: You possess a "keen eye" for detail, but you also look at the bigger picture. You can apply rules and policies to complex files, identifying when a situation requires a standard response versus an escalated review.
- Reliable & Resilient: You are known for staying calm and effective during "peak periods." You can manage a high volume of tasks and competing deadlines without losing focus.
- Solution-Focused Communicator: You can explain complex requirements clearly and respectfully to a diverse range of applicants and registrants. You build positive relationships within your team and with external partners.
- Professional Judgment: You exercise a high degree of discretion. You understand the importance of confidentiality and always align your professional conduct with the organization's mandate and values.
