Meridia is excited to partner with Living Stone to recruit a Scheduling Lead to join their team in Mount Uniacke, Nova Scotia. This role is central to the installation process, ensuring that projects are scheduled efficiently, communicated clearly, and executed smoothly.

Acting as the bridge between production, installers, and clients, the Scheduling Lead plays a vital role in maintaining workflow, managing expectations, and supporting successful outcomes. You’ll manage the installation calendar, coordinate with fabrication, and work closely with installers, clients, and internal teams.


Key Responsibilities:
Scheduling & Coordination
  • Review project files (checklists, sales orders, notes, and measurements) to confirm readiness for scheduling
  • Collaborate with Template Checklist Coordinators to transition signed projects into the installation pipeline
  • Coordinate installation dates based on installer availability, material status, location, and project complexity
  • Maintain and update the installation calendar, production queue, and project management systems
  • Prepare production files for specialized or rush projects (e.g., Dekton, Quartzite, Taj Mahal)
  • Lead weekly installer meetings alongside the support team

Project Monitoring & Client Communication
  • Track material arrivals and tentative dates (PMA process) in collaboration with purchasing and production
  • Communicate proactively with clients regarding scheduling, tentative installation dates, and any changes or delays
  • Ensure all project details (sinks, backsplashes, seams, layouts, etc.) are accounted for in scheduling decisions
  • Support production by flagging potential issues and assisting with in-house changes or remakes

Department Support
  • Create and maintain server files for all scheduled jobs
  • Prepare and label installer paper files with key details, materials, and notes
  • Act as the “bridge” between production, installers, and clients, ensuring all parties are aligned

Your Qualifications
The ideal candidate is calm under pressure, capable of managing competing priorities, and confident operating in a customer-facing environment. Success in this role requires strong situational judgment, clear communication skills, and the ability to work effectively with minimal supervision. With 9 trucks on the road and a wide range of materials and project types, this role requires someone who can think fast, stay organized, and keep all the moving parts aligned.

Your qualifications include:
  • ​​​​​​​Experience in scheduling, coordination, planning, logistics, dispatching, project management, operations coordination, or a similar fast-paced customer service environment
  • Excellent customer service skills; comfortable handling a high volume of inquiries under pressure and transferring information accurately and efficiently across departments
  • Highly organized with the ability to recognize time-sensitive information and manage competing priorities effectively
  • Clear, professional communication skills and a collaborative mindset
  • Strong problem-solving skills with the ability to think ahead and anticipate needs or challenges
  • Able to review and assess projects, providing informed insights and observations
