Our client, a global law firm with offices across Canada, the U.K., Europe, the Middle East, and Asia is currently seeking a Patent Coordinator to work with their Intellectual Property team in their Ottawa office.


Role Description:

  • Responsible to coordinate, plan, control and lead the activities involved in maintaining the complete patent portfolio of the lawyer/patent agent to maximize efficiency and performance
  • Reviewing and approving new patent applications for filing with CIPO; preparing formal documents such as Assignments, Petitions, and the like; preparing reporting letters to clients, and scheduling and controlling workflow to meet specific deadlines
  • Attending to filing foreign patent applications, such as national applications and PCT national/regional phase entries, and including preparing supporting documents and coordinating formalities requirements of various jurisdictions
  • Coordinating files and patent portfolios, including managing large national entry and validation projects and working with lawyers, agents, assistants and other staff as required
  • Compiling and providing status reports to clients
  • Managing professionals’ daily deadlines including both Canadian and foreign applications.
  • Reviewing all billing memos and invoices for approval and signature; which may include processing foreign associate invoices
  • Monitoring docketing reports on a daily basis

Your Qualifications:

  • Law Clerk, Administrative Assistant or Legal Administrative Assistant Diploma
  • 5+ years experience in Canadian and foreign patent file management
  • Thoroughly conversant in patent procedures and formalities requirements, and be able to work independently under pressure and tight deadlines
  • Must be familiar with patent-related on-line databases and searching tools
  • Ability to deal with deadlines and prioritize workload effectively in a fast-paced environment
